1. Who We Are

Grooove is a nightlife table reservation and promoter management platform operated in South Africa by Grooove (Pty) Ltd (Registration No. 2026/317681/07). We connect guests with venues for table reservations and facilitate promoter attribution and commission tracking.

2. What Personal Information We Collect
  • Full name and phone number (required for booking)
  • Booking history including dates, tables, and venues
  • Device and browser information for fraud prevention
  • Usage data when you interact with our platform
3. Why We Collect It (POPIA Lawful Basis)
  • To process and confirm your table reservation
  • To send booking confirmation and reminders
  • To track promoter attribution for commission purposes
  • To prevent fraudulent bookings
4. How Long We Keep Your Data
  • Active booking records: 24 months from booking date
  • Inactive guest records: deleted after 24 months of no activity
  • You may request deletion at any time by contacting us
5. Cross-Border Data Transfers

Your data is stored on Supabase infrastructure located in the EU-West region. By making a booking you consent to this transfer as necessary for the performance of your booking contract. Supabase complies with applicable data protection standards including GDPR, which provides equivalent or greater protections than POPIA.

6. Your Rights Under POPIA

You have the right to:

  • Access your personal information held by us
  • Correct inaccurate or incomplete data
  • Request deletion of your personal data
  • Object to processing of your personal information
  • Lodge a complaint with the Information Regulator of South Africa

7. Information Officer

Grooove has appointed an Information Officer as required by Section 55 of the Protection of Personal Information Act (POPIA). To exercise any of your rights or to raise a data-related concern, contact our Information Officer at groooveza@gmail.com.

8. Cookies

We use a single session cookie (groove_promo) to remember your promoter referral for up to 7 days so that the correct promoter receives credit for your booking. We do not use advertising cookies, tracking pixels, or any third-party analytics cookies.

9. Data Security
  • All data in transit is encrypted using TLS 1.3
  • Passwords are hashed using bcrypt — we never store plaintext passwords
  • We do not store payment card details — no payment data passes through our systems
Terms of Service
1. Platform Role

Grooove is a technology platform that facilitates table reservations between guests and venues. Grooove is not a venue operator and is not responsible for the quality of service, food, beverages, safety, or any other aspect of the experience provided at venues listed on the platform.

2. Bookings

By completing a booking through Grooove you enter into a reservation agreement directly with the venue. Grooove provides the technology to facilitate this agreement and is not a party to it. The venue is solely responsible for honouring, modifying, or cancelling your reservation.

3. Cancellations

Cancellation policies are set independently by each venue. Grooove is not liable for any cancellation fees, no-show charges, or minimum spend obligations imposed by venues. Please review the venue's policy before making a booking.

4. Age Requirement

You must be 18 years of age or older to make a booking through Grooove. Most venues listed on the platform are licensed premises with their own age verification requirements. By confirming a booking you declare that you and all guests in your party meet the applicable age requirements.

5. Prohibited Use

You may not use Grooove to:

  • Make fraudulent, speculative, or duplicate bookings
  • Resell or transfer bookings for commercial gain
  • Circumvent venue policies or minimum spend obligations
  • Impersonate another person or provide false contact details

Grooove reserves the right to cancel bookings and suspend access for users who violate these terms.

6. Governing Law

These terms are governed by and construed in accordance with the laws of the Republic of South Africa. Any disputes arising from the use of the Grooove platform shall be subject to the jurisdiction of the South African courts.
